    Terros Health is pleased to share an exciting and challenging opportunity for an experienced Executive Assistant. Reporting directly to the Chief of Staff of our President and CEO, the successful individual will be an intregal part of a high performing team of strategic partners that provide support on a number of different levels to our Executive Leadership Team. 

     

    The Executive Assistant Team members are Strategic Partners with the Executive Leadership Team (ELT) working under the oversight of the Chief of Staff with multiple members of the Executive Leadership Team.  The Executive Leadership Team Assistants (ELTAs) serve as the primary point of contact for internal and external interactions on all matters pertaining to support of the ELT.   They exercise informed judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills along with the ability to prioritize multiple important tasks.  The ELTAs work independently on assignments and projects, from conception to completion, and work under pressure at times to handle a wide variety of activities and confidential matters with discretion.  The ELTAs not only have the requisite technical skills to be highly functioning professional business partners, but have the soft skills required to support the ELT and build trust.

    Responsibilities

    • Complete a broad variety of administrative tasks including: managing extremely active calendars; completing mileage reports; reconciling credit card statements; composing and preparing correspondence that is sometimes complex and/or confidential; arranging complex and detailed travel plans, itineraries, and agendas within budget; and compiling documents for meetings. 
    • Plan, coordinate, and ensure the schedules are followed and respected. Serve as a gatekeeper creating win-win situations for direct access to the ELT’s time and offices.
    • Communicate directly, and on behalf of the ELT with internal and external partners.
    • Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
    • Provide a bridge for smooth communication between the ELT and internal departments by working closely with various department, demonstrating leadership to maintain credibility, trust, and support.
    • Work closely and effectively with the ELT to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the ELT updated.
    • Provide leadership to build relationships crucial to the success of the organization and manage a variety of special projects for the ELT, some of which may have an organizational impact.
    • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, e-mails, and other tasks that facilitate the ELT’s ability to effectively lead the company.
    • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
    • Coordinate monthly and special committee meetings including meeting space, agenda, material, and food needs.
    • Attend committee meetings and other meetings as requested and take meeting minutes.
    • Assist the Chief of Staff in coordination of corporate-wide events and meetings such as Annual Board Meetings, All Employee Events, and other events as needed.
    • Serve as back-up to other ELTAs and/or Chief of Staff as necessary.

    Qualifications

     

    EDUCATION, KNOWLEDGE AND SKILLS

    • Bachelor Degree or training and experience to reflect appropriate level of knowledge.
    • Minimum of five years of administrative experience supporting C-Level Executives.
    • Must be able to use Office 365 Suite Programs proficiently to accomplish job functions.
    • Ability to read, analyze and interpret printed articles in various reports, records, contracts and other documents.
    • Ability to respond to common inquiries or complaints from employees, customers, regulatory agencies or members of the business community.
    • Excellent verbal and written communication skills with strong attention to detail.
    • Exhibit a high level of interpersonal skills to effectively communicate with executives, staff, members, community representatives, Board Members, health plan partners, and vendors.
    • Must demonstrate time management, organizational, conflict resolution and judgment skills.
    • Must have valid Arizona driver’s license, be 21 years of age with minimum 3 years driving experience, and meet requirements of Terros Health’s driving policy.
